Job Description

The Finance and Accounting Officer (FAO) will report to the Manager for Finance and Administration (MFA). The FAO will:

  1. Perform accounting and treasury activities including:

(i)             Preparation of cash receipt journals and cash disbursement journals;

(ii)            Preparation of sales journals and general journals;

(iii)           Posting of journal entries into the QuickBooks system in a timely and accurate manner;

(iv)           Checking and analyzing of Accounts;

(v)            Monitoring of cash advances, liquidations, and reimbursements;

(vi)           Preparation of bank reconciliation report every month;

(vii)          Assist in the preparation of the Financial Statements;

(viii)         Assist in the yearly audit of Financial Statements;

(ix)           Assist in the preparation of Income Tax Returns; and

(x)            Assist in the updating of manual books of accounts.

  1. Assist the Technical Services Officers in the following:
  2. For Ongoing Projects, assist the project team through the following:

(i)    Preparation of Request for Check Payments (RCPs);

(ii)   Checking of Cash Advance (CA) forms and Purchase Orders (POs);

(iii)  Processing of claims of associates, where applicable;

(iv)  Notifying consultants, resource persons, associates. and suppliers regarding professional payments/MTE and per diems/cash advance;

(v)  Monitoring of payments to subcontractors and review of liquidations of subcontractors;

(vi)   Checking of liquidation forms for consultants’ cash advances and all attachments;

(vii)  Preparation of OPE billings, monthly/progress billings, SRS and follow up of  collections;

(viii) Checking of Requests for Cash Advance (RCAs) to Clients and corresponding liquidations;

(ix)  Assistance in project audits; and

(x)  Assistance in workshops and seminars, when necessary.

  1. Contracts

(i)     Review the financial aspects of various contracts with clients and associate firms/JV partners; and

(ii)    Prepare the contract/letter offers with consultants and firms.

  1. Perform other duties that may be assigned by the MAO and VP for Finance and Admin.
